Patient Registration: This module facilitates in storing all information related to patients like Patient Demographic Details, Assign Unique Registration Number to each Patient, Payment and Insurance Details, their details with Appointments, OPD Billing, Diagnostic Centers and Pharmacy, Assign Specific Consulting Department based on broad health Symptoms, Online Registration Card Printing Facilitates, entry of MLC (Medico-legal Case) Number for Accident Cases, Online Enquiry for Searching the Patient Registration Number & other details etc.

Doctor Appointment: This module assists us to manage all information about Doctors’ schedule in the hospital with respect to various patients. This module manages Doctors’ Schedule Entry (date & time for an appointment), facilitates entering periodic time changes, facilitates entering Doctors’ leave details, displays time-slots based on the time duration defined for providing consultation to new & follow-up patients, facilitates to block more than one appointment slot for a patient. copy and paste the same appointment details of a Patient for same date or different dates, move the appointment from one date & time to another date & time or Cancel an appointment, displays automatically next available slot for a Doctor / Department , print appointment schedule for a Doctor (for Specified Period), print appointment slip for future appointments etc.

OPD Billing and Collection Management: OPD (Out-Patient Department) Management Module of HospiWare is a front-desk module having features like OPD Cash Management, OPD Medicine Management, OPD Billing, OPD Service Management, OPD Inter/Intra Hospital Transfer Management, Advance Booking for Admission Rescheduling, Counter-linked OPD, and Admission Activities etc.

OPD Patients’ Clinical Management: This module is integrated with Appointments, OPD Billing, Laboratory, Diagnostics Imaging and A/T/D modules. It has predefined medical record formats discipline- wise for easy storage and retrieval facilitates for the maintenance of Electronic Record (EMR) of the Patients’ medical history, family history, allergies, diagnosis and treatment advised to the patients during each visit. This module has the provision of direct entry and communication of the clinical orders to different departments, viewing investigation reports and radiology images for the tests advised, entry of the admission advice and flashing online to the A/T/D department, viewing of in-patient records also after discharge from the Hospital in the subsequent visits of the patients.

IPD Management:

In-Patient Clinical & Orders Entry Management: This module displays the services requested and provided to the patients by all departments for cross-checking by the billing department, it performs the activities like automatic calculation of room rent and other compulsory services, generates deposit exhaust list & statement of accounts (Provisional Bill), generates final bills and complete settlement formalities before discharging the Cash / Credit patients. It enables generation of Bills Register and Hospital Revenue Summary & detailed statements.

In-Patient A/D/T (Admission/ Discharge/ Transfer) Management: This module manages the data like on-line Bed Status Monitoring (Vacant, Occupied, Blocked, etc.), facilitates in admitting scheduled and emergency patients after checking the Bed Vacant Status, prints admission form on the prescribed format, facilitates transfer of patient from one Bed to another, transfer the Patient Case to another Consultant, entry of discharge details as per the discharge intimation received from the nursing stations, generation of discharge summary, generation of admission / transfer and discharge statistics, birth/ death statistics etc.

Nursing Station Management: This module is integrated with A/D/T, diagnostic centres, surgery management, pharmacy and billing management. admitted patients list as per the nursing stations, clinical orders entry and checking the status of each order, drugs prescription and medicine request entry, unused medicines return entry, patient progress recording & monitoring, drugs administration, intake & output, recording, bed transfer intimations, patient discharge intimations, discharge summary preparation etc.

Master Health Check-Up: This module enables the entry of Clinical information of the services provided within the package (Consultation, History, Physical Check-up and various investigations offered in the Health Check-up Packages). This module is integrated with the Appointment, OPD Billing and Diagnostic Center Management modules.

Laboratory Management: This module covers all sub-centers like Pathology, Microbiology, Serology, Hematology etc., processing worksheets of Lab Orders for Out-Patients and In-Patients (Linked with OPD Billing and Nursing Care Management), sample management, result processing with soft / hard copy, updating of patient medical record file, e-mail facility for sending the soft copy to referring consultants, inventory management of lab reagents & kits, lab register maintenance, equipments interface for capturing of result etc.

Radiology Management: This module covers all sub-centers like X-Ray, Ultrasound, CT Scan, MRI etc. radiology orders processing, worksheet for out-patients and in-patients (linked with OPD Billing and Nursing Care Management), maintaining accurate up-to-the-minute patient data and charge information, tracking order status, tracking film jackets, facility to amend pre-stored standard radiology reports, inventory management of radiology department and register maintenance of radiology department.

Operation Theatre Management: This module functions on maintenance of Operation Theatre (OT) & staff calendar, OT scheduling including scheduling of providers and resources; recording operation details like list of staff present, date of operation, start and end-time of operation.

In-Patient Billing & Cash Collection: This module displays the services requested and provided to the Patients by all departments for cross-checking by the Billing Department, automatic calculation of room rent and other compulsory services charges, generates deposit exhaust list & statement of accounts (Provisional Bill), generates final bill and complete settlement formalities before discharging the Cash/ Credit patient, enables generation of Bills Register and Hospital Revenue Summary & detailed statements.

Medical Records & Medical Statistics: This module facilitates patient file-tracking, entry of ICD-10 / CPT Codes for the Diagnosis written by the Doctor for Out-Patients, each visit-wise and for In-Patients, each admission-wise, user-defined queries for quick retrieval of Patient Records and generation of Patient Statistics based on the codes entered, generation of Medical Statistics Report as per the prescribed format by the Ministry of Health (MOHFW), Government of India and other Medical Institutions, printing of birth certificate & reprinting of discharge summary, if required.

Purchase Management: This Module is used for centralized purchase in the hospitals for all the items irrespective of number of departments and sub-stores; vendors can file their sales proposal online based on the purchase criteria and purchase order will be generated if their proposals are accepted.

Material & Department Inventory Management: This module conducts the functions like purchase order management, stock management of stock flow, GRN processing, indent processing, stock transfer, purchase indents, generation, vendor analysis, stock ledger reports, issue & billing of consumables to patients,  verification & posting of supplier bills to financial accounts etc.

Drug Stores & Pharmacy Management: This module is used for managing all the data for purchase and sale in the pharmacy store within the hospital. This module facilitates dispensing of pharmaceutical items to in-patients, out-patients, referred patients and staff members.

Human Resource (HR) & Payroll Management

This module is responsible for personnel master file maintenance for all staff members’ user definable parameters for leave rules, loan rules, income tax rules, PF (Provident Fund) & ESI (Employees’ State Insurance) Rules, Overtime Rules etc. It is also responsible for maintenance of data on annual confidential reports, travel advance, salary advance and expenses maintenance, maintenance of attendance record and leave record, loan sanction & recovery etc.

Finance & Accounts Management: This module is integrated with Out-Patients Billing, In-Patients Billing, Stores Management & Pharmacy Management. It is also involved in creation of chart of accounts, sub-ledger catalogue, voucher generation, cash & bank books, purchase register journal book, sub-ledgers (A/R, A/P, Personnel), Trial Balance General Ledger, Balance Sheet with Schedules, TDS Certificates & Statutory Statements, Bank Reconciliation etc.

Blood Bank Management: This module is a real-time, interactive computer system that tightly integrates donor, unit and patient information. The main highlights of the module include flagging abnormal test results, reporting of test and transfusion results to minimize product waste, compiling statistical reports, using rules-based logic, providing charge capture, and generating turn-around-time and workload statistics. It allows stocking of the Blood Bags/ Sachets & issue to Patients or Wards. The System also facilitates stocking & issue of Plasma Products converted from the Blood Stock going to expire. Blood Bank results can be viewed by authorized users anywhere in the network through either the Blood Bank software or from the related Modules.

Equipment Maintenance Management: This module is responsible for managing the information about the medical equipments for the hospital. The medical equipments are extremely expensive and need regular maintenance as indicated by the manufacturers from the suppliers or the authorized representatives of the manufacturer for proper working conditions. Without the availability of vital medical equipments, the Hospital will not be able to extend the best facility to patients.

This Module enables creation and maintenance of Medical Equipments Installation and Inspection record with Spares recommended for stocking. The Users can take a Weekly Statement of Equipments due for Preventive, Overhaul Maintenance and also enter Equipment Maintenance Report. At a glance, the software system can also indicate the condition of Equipments, Stock of spares required, Equipments to be replaced etc. This module also maintains Monthly register of Maintenance.

Dietary Management: This module enables in Computerization of Diet and Kitchen Departments. Features of this module are: type of diets with nutrition assessment, patient food planning as per the disease and treatment advised by the doctor, placing meal orders, automatic reporting of new patients admitted and patients getting discharged from the hospital.

CSSD (Central Sterile Supply Department): This module maintains information of department-wise sterilization trays (OT, ICU, nursing stations etc.), facilitates maintenance of items’ records (Received/ Returned), facilitates reconciliation of consumption of items in each department, prepares discrepancy list for management’s action, maintains monthly register for receipts, returns and discrepancies in the entry of items received from wards, OT, ICU etc. for sterilization. It also maintains return of items to be received from wards, OT, ICU etc. after sterilization, provides maintenance of consumable inventory records, and providing automatic indenting of material required based on consumption and minimum stock level.

Dialysis Management: This module facilitates in scheduling of dialysis treatment for the Out-Patients & In-Patients based on the machines availability and Doctor/ Technicians availability. This also enables in maintaining on-line the complete treatment record of the Patient along with the complete case history details. This module is integrated with Billing and Clinical Modules.

Management Information System (MIS): MIS is an integrated part of the HospiWare and it acts as a complete reporting tool which makes easy for hospitals in updating and managing the Decision Support System (DSS).

Centralized Hospital Facilities Management: This module maintains and stores all the details of the facilities available in the hospital. There are only two sub-modules in this module: Master & Set-up.

In this module, a hospital can maintain comprehensive information (Master Data) of various departments and entities within a hospital like Room Type, Department, Service Master, Consultant Master, Medicine Master, Panel Master, Surgery Type, Anesthesia Type, Doctor Type, Service Type, Medicine Master, Panel Master, Surgery Master, & Doctor Type Master etc.

Corporate & Insurance Companies’ Management: This module manages all the insurance-related information of patients with various insurance firms by sharing the patients’ healthcare spending information. This module manages both cash and cashless insurance related payments.

Child Care: Child Care module in HospiWare streamlines the Child-care and Mother Care activities like Vaccine Calendar Creation, Vaccine Schedule Alert and Reminder and all related information.

Software Management: This module facilitate admin user to manage HospiWare software i.e User Management, Software Backup process, Database Backup etc.

Value Added Features/Add-on Features:

Bar Code: HospiWare can be integrated with barcode. A hospital can share unique ID Cards to the patients with specific barcodes, which can be matched with patients’ personal and healthcare details and retrieved as per the need at any point of time.

Short Messaging Service (SMS): HospiWare can be integrated with auto generated SMS which can be used as alerts for doctors, staff, patients etc.

Picture Archiving & Communication System (PACS): HospiWare can be integrated with PACS which helps in storing, retrieval and transmission of digitized patient images directly from modalities (source machine types) such as X-ray Computed Tomography (CT), Magnetic Resonance Imaging (MRI) Ultrasound (US), Positron Emission Tomography (PET), Endoscopy (ES), Mammograms (MG), Digital Radiography (DR), Computed Radiography (CR) etc. by sending the images to the centralized database server by using PACS software.
